We know that some of you may feel nervous about your views being shared with NHS Dumfries and Galloway, especially if you already feel vulnerable at work. We also realise that some of you might feel anxious about retelling difficult or traumatic experiences, because of the painful feelings this might bring up, and especially with people you don’t know.
With guidance from the Ethnic Minority Staff Network, we will work extremely hard to make sure that:

With guidance from the Ethnic Minority Staff Network, we will work extremely hard to make sure that:
- you have choice and control about whether and how you take part and can say no to anything you don’t feel comfortable with
- your anonymity, safety and wellbeing are at the front of our minds, and that we engage with you in ways that are trauma-informed as well as culturally and racially sensitive and affirming
- we do all we can to make sure you can share your story in ways, in places and at times which suit you best
- we gather, analyse, summarise and report back your views honestly and accurately. Sleeping Giants is independent from the NHS

The measures we will take to help you to take part
Choice – we want to make sure that you can choose:
- whether to share your views or not
- how you want to share your views
- which questions to answer, and how much information you’re willing to share
- where and when you’d prefer to meet
- to be interviewed by someone from an ethnic minority if you prefer
We will:
- make answering detailed questions about your experience optional in surveys and interviews
- encourage you to let us know if there’s anything that feels uncomfortable, so that we can change things, for example if you’d like to take a break or move onto a different topic
- make sure you understand how we will use your information and you’re happy to take part before you share your views. You will also have a chance to ask questions if there’s anything you’re not clear about.
- check with you after the interview is finished, whether there’s anything you’ve shared that you’d prefer us not to use. You can also withdraw all, or parts of, your feedback up to the point that the report is finalised.
Privacy
- Everything you share with us will be anonymised. This means we will not use your name and will also leave details out of the report that could identify you (for example where you live or your job role.)
- We will try as hard as possible to make sure you can speak to us in a place that feels comfortable for you. This might be online, on the phone, or in a room in a community or NHS building. If we do meet in an NHS building, we will make sure that we can speak privately, and that it is not obvious to others why we are meeting.
- We will make sure that the views you share are stored safely and securely and that access is strictly limited to key individuals from the Sleeping Giants Team, for example those analysing the data and writing the report.
Support
- Before you take part in an interview, we will tell you which topics will be covered, as well as what we won’t be asking you, so you know what to expect
- We will create a space to talk where it’s OK to have strong emotions. At any time, you can skip questions, take a break or stop the interview without having to give a reason
- You can also bring a person with you for support. If you don’t have someone to bring, but would like support, you can contact the Ethnic Minority Staff Network at [email protected] and they can arrange for someone to buddy you.
- We will make sure everyone who shares their views is given written information about people and organisations they can go to for support
Thank you for reading this information and we look forward to hearing your views and sharing them safely and anonymously with your employer to help tackle racism and to make your workplace more accessible and inclusive for ethnic minority staff members.
